1. GENERAL

1.1.   Organization

The Scouting 4-Day Camp is organized by the Scouting 4-Day Camp Nijmegen Foundation, hereafter referred to as the organization.

1.2.   Medical Procedures

Medical procedures are carried out by certified medical personnel under the responsibility of the Scouting 4-Day Camp Nijmegen Foundation.

1.3.   Participation and Stay at the Scouting 4-Day Camp

1.3.1.     Participation and stay at the Scouting 4-Day Camp are at your own risk.

1.3.2.     The organization cannot be held liable, in any way, for any damage, illness, or physical injury that may occur during the camp, regardless of the cause.

1.4.   Force Majeure
In case of force majeure (e.g., cancellation of the 4-Day Marches or government measures), the organization will do its utmost to refund the camp contribution to participants, deducting any costs already incurred.

1.5.   Removal from Camp

1.5.1.     The organization reserves the right to deny further access to participants who, even after repeated warnings, do not comply with the camp rules.

1.5.2.     In case of removal, no accommodation costs will be refunded.

1.6.   Alcohol Consumption

1.6.1.     Employees are not allowed to consume alcoholic beverages during or shortly before a shift.

1.6.2.     Ensure that you do not consume alcohol at least 4 hours before your shift, especially if driving or performing first aid.

1.6.3.     Highly alcoholic beverages are prohibited on the premises.

1.7.   Insurance

Participants are responsible for arranging appropriate travel, luggage, and/or accident insurance, individually or as a group.

1.8.   Smoking

1.8.1.      The camp takes place on a no-smoking site. Smoking is prohibited on the premises.

1.8.2.      If you wish to smoke, please leave the site and ideally stay out of view.

1.9.   Regulations

In any situations not covered by these regulations, the organization will make a binding decision. Every participant is deemed to have read and understood these regulations, as well as any applicable legal rules and guidelines

  1. REGISTRATION

 

2.1.   Registration Process

2.1.1.     You can register for the Scouting 4-Day Camp via the link on our website (https://www.4daagsekamp.nl).

2.1.2.     Registration opening dates and processes will be communicated through the website and usual channels.

2.1.3.     Registrations after June 1 may incur additional administrative fees.

Important: Registration for the Scouting 4-Day Camp is separate from registration for the 4-Day Marches themselves.

2.2.   Exceptions to Online Registration

Exceptions to online registration are only possible in special cases and must be discussed with the secretariat.

  1. PARTICIPATION

 

3.1.   Eligibility

Participants must be members of Scouting Netherlands or another scouting organization affiliated with WOSM (World Organization of the Scout Movement) or WAGGGS (World Association of Girl Guides and Girl Scouts).

3.1.1.     All staff members automatically become members of Stichting Scouting 4-Daagsekamp Nijmegen and Scouting Netherlands.

3.1.2.     Please note: Signing this agreement implies an additional invoice for your contribution if your function at Scouting Netherlands is affiliated with Stichting Scouting 4-Daagsekamp Nijmegen.

3.2.   Exceptions

Exceptions to the rules in 3.1 are:

3.2.1.     Parents/guardians supporting participants who are members.

3.2.2.     Former scouting members who have participated annually without a break (max. 2 years) since leaving scouting.

If you do not fall under the exceptions mentioned above but have another reason, you must indicate this during the registration process.

3.3.   Participation as “Support”

3.3.1.     The camp is primarily for scouts participating in the marches as walkers. Support roles (e.g., meal preparation, first aid, wake-up services) are possible under certain conditions.

3.3.2.     The number of participants per group joining as 'support' is limited.

3.3.3.     The ratio is one support person per five walkers, subject to exceptions approved by the secretariat.

3.4.   Participation Declaration for Minors

Participants aged 11-17 must submit a signed “Participation Declaration for Minors” by a parent or guardian.

3.5.   Payment

3.5.1.     Payment must be made within 15 working days of the invoice date.

3.5.2.     Staff may arrange later payments in consultation with the organization.

3.5.3.     Registration is confirmed only upon full payment.

3.5.4.     Failure to pay on time may result in cancellation of registration, with re-registration fees applicable.

3.6.   Cancellation

3.6.1.     Cancellations between June 1 and July 1 without valid reasons incur a €15 administration fee.

3.6.2.     After July 1, cancellation fees are 50% of the participation costs.

3.6.3.     Merchandise costs ordered after June 1 remain the participant’s costs.

3.6.4.     Cancellations must be made via phone or in writing (email accepted).

  1. STAY

 

4.1.   Setting Up the Campsite

4.1.1.     You can set up your campsite starting from the first Saturday of the camp, at 12:00 PM.

4.1.2.     Upon arrival, at least one person, preferably the contact person, must report to the VIP (4-Day Camp Information Point) in the main building for further administrative processing.

4.1.3.     Afterward, you can select a suitable location for your campsite with the assistance of a staff member. This will depend on whether you wish to use electricity.

4.1.4.     Setting up your campsite is allowed until Monday evening at 6:00 PM.

4.2.   Tent Size and Campsite Area

4.2.1.     The size of your tent/campsite must be proportional to the number of participants sleeping/staying in it.

4.2.2.     Ensure you accurately state the number of tents during registration.

4.2.3.     Bringing space-consuming (unused) party tents is not allowed.

4.2.4.     Caravans and folding trailers are not permitted.

4.3.   Cars and Trailers

4.3.1.     Cars must be parked outside the gates.

4.3.2.     Parking, loading, or unloading vehicles on the grounds is not permitted.

4.3.3.     Each participant with a car must have a parking permit, available at the VIP, displayed on the dashboard.

4.3.4.     Small trailers may be placed inside the gates near your campsite, subject to the organization’s guidance and availability.

4.4.   Withdrawal from Participation

4.4.1.     If you withdraw during the walking march and receive external or professional medical care on or off the campgrounds, you must leave the camp.

4.4.2.     This also applies if you withdraw and are not self-sufficient.

4.4.3.     In all cases, further participation in the 4-Day Camp is excluded.

4.4.4.     In the case of illness, you must leave the campgrounds as soon as possible to prevent the spread of disease. This applies to both walkers and staff members. For transmissible illnesses, such as a viral infection, you must return home immediately.

4.5.   Departure

4.5.1.     You can dismantle your campsite from Friday afternoon at 4:00 PM to Saturday morning at 11:00 AM.

4.5.2.     The above does not apply in situations mentioned in 1.5 and 4.4.

4.6.   Bicycles

4.6.1.     Participants bringing bicycles or cycling to the start area in the morning must use the designated bicycle parking.

4.6.2.     Due to fire regulations and to avoid morning disturbances, bicycles may not be placed near the tents.

4.7.   Camp Quiet Hours

4.7.1.     On the evenings before walking days (Monday through Thursday), the campgrounds must be quiet by 10:00 PM.

4.7.2.     During departures in the morning and returns, participants should maintain as much silence as possible, both on the campgrounds and in its vicinity.

4.7.3.     On other days, the quiet time is midnight. The use of musical instruments and sound equipment is not allowed after these times.

4.7.4.     Participants are also requested to ensure some degree of calm and quiet on the grounds during the day, particularly in the morning, for those who slept late due to nightshifts.

4.8.   Electricity Use

4.8.1.     The use of fuel-powered generators is not permitted on the campgrounds.

4.8.2.     If you wish to use electricity, you can access a power connection on the campgrounds for a small fee.

4.8.3.     This must be indicated during registration, and you must provide a suitable and approved connection cable (3x2.5mm²).

4.8.4.     A maximum of 500W (2A) is available.

4.8.5.     The connection is free for medical purposes.

4.8.6.     A charging station for electronic devices is available in the recreation hall and can be used free of charge.

4.9.   Waste

4.9.1.     Waste must be removed from your campsite as quickly as possible and deposited loosely (empty bags) into the available container.

4.9.2.     It is not allowed to dispose of brought-in bulk waste, such as chairs, sofas, bicycles, etc., in the container. Participants must take these items back with them.

  1. OTHER

 

5.1.   Care on the Last Day

5.1.1.     On Friday, nearly all caregivers with walking injury qualifications (and possibly massage therapists) will be stationed at posts.

5.1.2.     From that point, only first aid (EHBO) will be available on the campgrounds.

5.1.3.     After the final walking day, only first aid (EHBO) will remain available.

5.2.   Pets

5.2.1.     Pets are not allowed on the campgrounds.

5.2.2.     This also applies to pets brought by visitors.

5.3.   Visitors

5.3.1.     Visitors must always report to the VIP upon arrival.

5.3.2.     Visitors staying overnight must pay a fixed fee for the overnight stay and use of facilities.

5.4.   Fire Safety

5.4.1.     Every tent with a gas installation (lighting, stove) must have a fire extinguisher present.

5.4.2.     Gas appliance connection hoses must be certified (with a quality mark) and no older than four years.

5.4.3.     It is not allowed to move the fire extinguishers placed on the grounds.

5.5.   Campgrounds

5.5.1.     Digging on the campgrounds is not permitted without the organization’s approval.

5.5.2.     It is strictly forbidden to light fires on the campgrounds, including at designated campfire areas.

5.5.3.     Paths and walkways marked on the campgrounds must always remain clear of obstacles, including during the setup of your campsite.

5.6.   Internet Use

5.6.1.     You can use the wireless internet connection on the campgrounds free of charge.

5.6.2.     This service is provided based on availability and may be affected by external factors or measures implemented by the organization.

5.6.3.     The organization cannot guarantee that the wireless internet connection will be available at all times or throughout the entire campgrounds.

5.6.4.     The connection may not be used for unauthorized purposes, including:

5.6.4.1.         Installing, distributing, and/or using (illegal) software and spreading viruses.

5.6.4.2.         Gaining unauthorized access to computer systems or parts thereof.

  1. AGREEMENTS

 

6.1.   You agree to the participant regulations of the Scouting 4daagsekamp Nijmegen.

6.2.   You are aware of the rights and obligations you have regarding membership (staff) as outlined in the internal regulations of Scouting Nederland.

6.3.   By registering, you also agree to the following:

6.3.1.     The use and sharing of photos and videos in which you are visible.

6.3.2.     That a Certificate of Conduct (VOG) will be requested for you (as a staff member).

6.3.3.     If you (as a staff member) are not a member of Scouting Nederland, the costs for the membership fee of Scouting Nederland will be charged to you.

6.3.4.     If you disagree with any of these points, you can notify the organization in writing or via email.

7.1.   In addition to the internal regulations of Scouting Nederland, the Stichting Scouting 4daagsekamp Nijmegen has its own internal regulations.
